A focused Build Your Back Office engagement

Grant Ownership & Implementation Sprint

Turn your grant policies and procedures into a working process your team can follow.

EBS works with the people responsible for grant management to clarify ownership, decision authority, handoffs, review, and backup coverage. Together, we apply the six-step Grant Ownership Map framework to one agreed operational priority.

Investment: $3,000. One priority grant workflow.

Start with a 20-minute fit conversation. We confirm fit and scope before enrollment.

Have grant policies, but need help putting them into practice?

Your team may already know the requirements. The next challenge is agreeing on who owns the work, what each person needs from others, and how decisions and reviews happen on time.

Work with EBS on one process that needs clearer coordination. Finance, Programs, Development, and leadership participate where their responsibilities connect.

Reporting handoffs

Clarify how Programs provides information, Finance reviews financial inputs, and the accountable owner prepares a report for approval.

Award kickoff

Agree on who translates an accepted award into internal assignments, deadlines, review points, and a coordination calendar.

Internal reimbursement review

Map the documents, internal checks, approvals, and backup coverage needed before an authorized request moves forward.

These are possible sprint priorities, not client results or promises to implement all three.

Six steps to make the workflow usable.

We review the connected responsibilities, then build and test around the agreed priority.

  1. Inventory the lifecycle

Review the grant lifecycle and existing policies to select the priority workflow and identify connected responsibilities.

  2. Define functional roles

Clarify the responsibilities of Finance, Programs, Development, and leadership within that workflow.

  3. Assign accountable owners

Agree on who owns each major task and what authority and support they need.

  4. Clarify handoffs and timelines

Define required information, approvals, internal deadlines, and escalation paths.

  5. Establish review and backup

Identify who checks the work, who provides coverage, and what they need to do so.

  6. Make coordination routine

Test the workflow with the team and establish a practical review cadence.

Tools and a tested process for one priority.

The initial review can look across all six steps. Building and testing stay focused on one priority grant workflow or one clearly defined grant-management process. Implementing the entire grant lifecycle across multiple awards, departments, or locations requires a separately scoped engagement.

  • One clearly defined implementation priority.
  • Up to three supporting tools selected for that priority, such as an ownership and decision-rights map, handoff checklist, and coordination calendar.
  • One workflow or operating routine tested with the relevant staff.
  • A 30-day implementation plan with owners and review dates.

Start with the Grant Ownership Map.

The free illustrated guide introduces the method. The sprint adds facilitated decisions, tools shaped around your workflow, and practice with the staff who will use them.

Bring your existing policies, a priority process, and the relevant staff. We confirm the deliverables, participation, and calendar timeline together before enrollment.

EBS facilitates operational decisions within your established requirements. Unresolved regulatory, legal, accounting, or compliance questions go to the appropriate specialist. This sprint does not provide a compliance audit, legal advice, grant writing, or a guarantee of funding.

Before you apply

Do we need policies before we start?

This offer is designed for teams with existing grant policies or procedures that need help putting them into practice. Bring those materials to the fit conversation so we can confirm a workable implementation priority.

Will we implement all six steps across every grant?

The six steps guide our review and implementation method. The sprint builds and tests one agreed workflow, not every policy or the full grant lifecycle across the organization.

Who should participate?

Include the people who do the work and the people authorized to approve operational decisions. That may include Finance, Programs, Development, and leadership, depending on the selected workflow.

How long does the sprint take?

As a focused Build Your Back Office engagement, the sprint is designed around approximately 20 hours of EBS support. Calendar timing depends on scheduling, document availability, and team participation and is confirmed when the scope is agreed.

Are all three tools included automatically?

The sprint includes up to three tools, chosen to support the same priority. We may build fewer if that is what the workflow needs.

What if we only need feedback on one question?

EBS Advisory Hours starts at $150 per hour for focused feedback or guidance. The implementation sprint is for teams ready to build and test a working process together.

What happens after we apply?
