Community-Informed Capacity-Building Infrastructure
A funded community-serving initiative had strong relationships, coalition partners, and valuable community knowledge. The active engagement is helping the organization build a repeatable way to facilitate conversations, document what it hears, synthesize themes, and turn learning into products that staff, funders, and partners can use.
Approach
EBS approached the work as community-informed infrastructure building. The method connects engagement, facilitation, documentation, synthesis, and learning-product development so community and partner input can carry forward instead of remaining in separate meetings or notes.
The design builds from the organization's funded purpose, existing relationships, and subject-matter context. Standardization is being used to support continuity and shared learning while preserving room for different communities and partners to shape each conversation.
How we worked with the team
The work began with a review of approved grant language and existing materials to understand the initiative's commitments, audiences, and intended learning. This grounded the infrastructure in what the organization had already promised and built.
EBS is developing a standardized engagement process and practical facilitation toolkit that staff and partners can use across conversations. The tools are designed to support consistent preparation and documentation without treating community participation as a scripted exercise.
A shared documentation and synthesis protocol is being created so notes and stakeholder insights can move into themes, decisions, and concise learning products. Coalition and partnership meetings provide an ongoing space to test understanding and keep the work connected to those closest to the initiative.
Monthly implementation meetings support coordination, refinement, and follow-through. The engagement will close with a summary that helps the organization carry the process and learning forward beyond the initial funded activity.
Results
The in-progress engagement is developing a reusable stakeholder-engagement process, facilitation toolkit, documentation and synthesis protocol, and five concise learning products or summaries. Partner-meeting support and monthly implementation conversations are part of the same operating structure.
This infrastructure is intended to make community and partner learning easier to retain, compare, share, and use across the initiative. It also gives staff a more consistent way to facilitate and document the work without depending on one person's method or memory.
Because the engagement is still underway, completed outputs and community or organizational outcomes will be described only after they are confirmed. The current work is establishing the foundation the organization can continue using as the initiative develops.
